  1. We need to track historical attendance for our shelter programs, including slot information. We are often asked to report where someone stayed (their slot) longer than 90 days ago, but that is apparently all that is available in the Reservations Model. Not only does this mean that we need to combine data from multiple models just to get total history, it means that we are not able to provide this tracking for all kinds of vital business needs (contact tracing, legal requests, etc.) Please change this!

  2. The search feature in Clarity disregards special characters such as an accent mark ( ' ) and also disregards any letters included in the name before the accent mark. For example, if you search for D' Andre the Clarity client search will prioritize results which include Andre in the first or last name (such as Andre, Andrea, Andrew, Andrews) over the client's name D'Andre which shows up several pages into the search.

  5. The Program Roster report already has a program list and a date range in a separate tab from the data. So a header isn't really necessary. All this does is add messy steps for cleaning up the format before any filtering can be done. Please remove the header on the first tab. Thanks!

  6. In Looker, there is a unique ID field for housing opportunities that are created in Clarity on the Availability screen. Our users would like this ID to appear on the Availability screen once an opportunity has been created, similar to how the Client Unique ID field functions. In addition, our users would like this ID to appear in the opening dropdown of the reassign section when matching clients to housing opportunities.   7. Could a checkbox be placed on the profile page to indicate the client is an adult when a full DOB is not available, which could then trigger the required data elements to be collected? This would make it uniform across the board on how data is entered instead of using unrealistic dates, collecting adult data for a child or visa versa not collecting all the adult data.

  8. I cannot stress this need enough. The ability to view standard and custom reports/Looks and toggle filters in the reports/Looks should be standard across the board for ALL users, regardless of their access to building reports/data analysis. The data that users enter is only as useful as it is VISABLE to staff and managers. Users should be able to view reports as needed and not have that access unnecessarily bottlenecked at the Agency Manager level. This is not a novel request-- other products do this.

  9. Please allow System Administrators to set Audit Log permissions by role. Agency Managers regularly need to perform data quality checks to see who made what change to a certain field.

  11. Some programs do not use a model where the enrolling staff person is the one the client is "assigned to." For example, our Front Door Triage program enrolls guests in shelter, at which point a responsible staff member is not known. The current behavior is that the staff person who completes the enrollment is the one who is "assigned," which is not accurate. (And it is currently used as a proxy for who did the enrollment, which is a terrible assumption - the enrolling staff should be listed on the history/program tab instead). For any CoC migrating data, adding additional timeframes for cascading data thresholds would be extremely helpful when migrated client data gets associated with the incorrect program (or in our case, also incorrect agency). If the cascading data thresholds were expanded beyond 1 year (365 days), then clients with older enrollment and assessment dates could be easily transferred to the correct agency/program through direct referral, cascading data procedures.

Street Outreach projects, now REQUIRED to record contacts via the Current Living Situation ASSESSMENT, are known for having the most occurrences of duplicate records due to the nature of their work and the population of clients being served. As hard as outreach workers & Sys Admins try, duplication of client records and associated enrollments will occur in Street Outreach settings (so much so that it is commented upon in the HUD Data Standards Manual).

  14. Currently, enrollment type care team members are not visible across agencies if the sharing settings for Service/Programs/Assessments data are turned off across agencies. It would be great to be able to see those Care Team Members without making all enrollment data visible--this would allow for greater coordination between providers in our community while still protecting clients' privacy.

  15. Objective: Only show relevant fields on report.

    1. If the field is hidden on the screen, then hide the field in the report.

    Reason: With the addition of the hide function on the screens, there might be fields that may not make sense to the end user and will display on the report.
    Outcome: Any field that is hidden on the screen will not show up on the report.

  16. The birth_nation field would be more useful to us if it included all countries. Would Bitfocus be open to adding options to this field so that it includes all countries from this list and communities don't have to build a custom field?

  17. Files that are not specific to a program enrollment are uploaded to the Profile / Files tab. Sometimes staff make a mistake and upload them to the Program / Files tab. This can be fixed by edited the file and then deleting the link to the enrollment. Forms have the same potential error, but the link cannot be deleted. While we do not want to be able to change the form "name", we would like to be able to edit the form and delete the link if needed. It is very time-consuming to download a PDF of the form, delete…

  19. One customer's experience with the Results Log in the DIT:
    First, this log includes too much data - this log should only include data that has been updated from the Export File.
    In order to be able to use this data, all individual items included whether client profile, enrollment, etc need to be related to the unique client ID.
